RAPOR PROJECT

Reliable Alpha Phi Omega Roster or simply RAPOR is a project with the objective of coming-up with a way of creating and updating the Member Roster. With this project, the creation and updating of the Member Roster will now be the responsibility of each Collegiate Chapter. A computer program, named ROSTER.EXE, is now available to facilitate the encoding and the updating of information. On a yearly basis, Chapters should update the National Council of its members by sending a copy of the files created by the program namely roster.mem & roster.dbf. For Chapters capable of web publishing, the program can automatically create the needed html files. For Chapters not capable of web publishing, just notify us and the WebTeam will do the rest. In both cases, the Chapter has the option whether to include or not freshmen members or entirely not to have their Roster on the web. If the Collegiate Chapter’s Roster is on the web, our Official APO PHILIPPINES WEBSITE will be linked to it and authentication can then be made on-line for that Chapter. Otherwise, you need to call the National Council. The said program is now available for downloading from our APOPHIL WEBSITE with the following address www.apo.org.ph under ROOM_214 “Member Roster” section. Your RDDs will also be given copies of the program or you can personally drop by at the National Council. The program is free.

If your present Roster is on a different format (created not using our program), send us a copy & we will look at it and see what we can do. We however require that the names and contact information of the brothers/sisters who made the Roster be supplied.

Since it is now the Chapter who has the last say as to who are its official members, it is the responsibility of each and everyone to ensure that his or her name is included on their Chapter Roster.  All APO Organizational Units are requested to please make available your member list to the Collegiate Chapters for their reference.

You can help a lot by informing your Chapter mates about this project. For further information, please visit our website at www.apo.org.ph

Question & Answer
Last Updated: 03.28.2003

Q: Why do we need to create and update the Roster of Members?

A: We need to create and update the Roster of Members to facilitate the authentication process of our members. It may not be that important to you but it is definitely important to the one that needs to be authenticated. "Simulan mo na. Kung hindi tayo kikilos ngayon ay kailan pa?"

Q: Our chapter Roster of Member is already updated but it was saved on I think on MS Word or Excel format, do we still need to use your program and re-input everything we previously entered?

A: The format of the roster is secondary. Our main concern is to have a roster of member. We however, require that the names and contact information of the Brothers and Sisters who made the roster be supplied. The next time you update your roster it can help a lot if you use our program.

Q: Why was the creation and updating of the Roster of Members being assigned to the Chapter?

A: At present the National Council lacks the resources, in terms of equipment and manpower, to handle the creation and updating of the Roster of Members. Besides, who will be more knowledgeable to its true members other than the Chapter. "Saan ba tayo naging
APO, hindi ba noong nasa College?".

Q: What about chapters that no longer exist or those whose residents are non-responsive?

A: The former members of the said chapter, who are now alumni, should have the initiative to work on it. Besides, their own membership authentication depends on it.

Q: Who has the last say on the correctness of the Member Roster?

A: The collective voice of the Chapter.

Q: The school administration of our Collegiate Chapter does not allow freshmen from joining any fraternity/sorority. Including their names on our roster might put them in danger. What should we do?

A: Your Chapter has the option to either remove their names from the roster or use incomplete names or initials or not to have the entire roster accessible on the Internet. In all cases, you still need to send the files (roster.mem and roster.dbf, or in other format) to the National Council for updating.

Q: Where can we get a free copy of the Roster Maker program?

A: You can get a free copy of the program by downloading it. On our website, 'Download_Program' is besides the ‘Q&A’. A copy will be made available at the National Council & with your RDDs on diskette. The program is free.

Q: Do we need to supply all the information being asked by the program?

A: NO, you do not need to supply all the information being asked by the program. It is up to the Chapter to determine which information to include. The information may even vary from one member to another.

Q: We do not know anything about Web Designing, how can we make our roster available for viewing on the Internet?

A: If you are using our Roster Maker program, send us the files (roster.mem and roster.dbf). If your Roster is in another format, just send it and we will do the rest.

Q: I do not have access to the Internet. How can I upload it?

A: There are a number of Internet Cafes that you can use to upload your html files. They normally charge less than a hundred pesos per hour.

Q: Isn’t it I need an Internet Account or I should be a subscriber to have a web space to load my html files?

A: If you have an Internet Account or a subscriber you are given a web space to use for your html files for web publishing. But even if you do not have an Internet account, a lot of sites are offering free web space for everybody. Example, Geocities, Angelfire, and a lot more. They give free web space in exchange for advertisements.

Q: Do we need to complete our Roster before sending the file to the National Council or uploading it into the Internet?

A: If it will take long to complete your roster, it will be better to send or upload it as is and make the update later on. It is important however that a notice be included as to its incomplete status. It is also important that the contact information of the Brod/Sis responsible for the creation of the roster be included.

Q: We do not have any idea how to use a computer. What should we do?

A: Try to contact other Brothers and Sisters from other chapters who have already used our program. Remember the word SERVICE. There is always a Brother or a Sister that can help you.

Q: We still cannot get it. What do you want us to do?

A: What we want you to do:

1.)     Create a member Roster of your chapter in any format (Word, Excel, or the using the program we supplied)

2.)     Complete or not, send the file containing the roster to the National Council or email it to us.
